The businesses that treat Xero as just a bookkeeping tool are leaving that connective layer unused.
Integration
Connect Xero to the rest of your stack, so nothing needs entering twice.
App selection from the Xero App Store, matched to your actual needs
Custom integrations via Xero's open API when off-the-shelf apps don't cover it
Vertical-specific systems — POS, gym/membership platforms, restaurant systems, manufacturing, fleet & service scheduling
Optimization
Keep the system aligned with how your business actually runs today.
Business process optimization as your operations evolve
Workflow automation to cut down manual, repetitive tasks
Data cleanup to keep records accurate and consistent
Feature configuration as your needs grow beyond the original setup
HOURLY RATE
$50–$150
per hour
Applies to both custom integration work and ongoing optimization. Routine work — App Store connections, workflow tuning, data cleanup — sits toward the lower end. Custom API builds and more specialized engineering sit toward the higher end. We'll estimate hours and the applicable rate before starting, so there's no surprise on the invoice.or new clients who want clean, accurate books and a smooth transition before ongoing service begins.

This is for businesses already running Xero, regardless of who set it up. We start with a review of your current setup before recommending any integration or optimization work.
-
What's the difference between Integration and Optimization?
Integration is about connecting Xero to whatever else runs your business — a POS system, a manufacturing platform, a gym or restaurant management tool. Optimization is about improving how Xero itself works — automating manual steps, cleaning up data, and adjusting configuration as your business changes.
-
Our business runs on industry-specific software, not typical business apps — can that still connect to Xero?
Often, yes. Xero's open API isn't limited to a preset app list — if your point-of-sale, booking, manufacturing, or scheduling system exposes an API of its own, there's usually a way to connect it. We assess your specific system before promising anything.
-
Can you connect Xero to our CRM or e-commerce platform?
Yes — most CRM and e-commerce platforms have existing Xero App Store connections, and we can build a custom integration through Xero's open API when an off-the-shelf option doesn't fit.
-
Do you only use existing apps, or do you build custom integrations too?
Both — we start by checking whether an existing Xero App Store integration covers what you need, since that's usually faster and more maintainable. Custom development comes in when nothing off-the-shelf fits.
-
How is this different from Setup & Migration?
Setup & Migration gets you live on Xero. Integration & Optimization is the ongoing work after that — connecting new tools as you add them and keeping the system tuned as your business changes.
-
Why is this billed hourly instead of a flat monthly rate?
Integration and optimization work varies a lot from month to month — some months there's a specific integration to build, others there's nothing new needed. Hourly billing means you pay for the work actually done, not a retainer for capacity you might not use. We estimate hours before starting so there's no surprise.
-
What determines where we land in the $50–$150 range?
The complexity of the work, not who's asking. Connecting an existing Xero App Store integration or tuning a workflow is more routine and bills toward the lower end. Building a custom integration against an open API, or work that needs more senior engineering judgment, bills toward the higher end. We'll tell you which applies before starting.
-
Do you support Xero accounts that another provider originally set up?
Yes — most integration and optimization clients come to us with a system someone else set up. We start with a review of the current configuration before recommending changes.
