The scope

What the Service Covers

Accounting outsourcing here means the whole function, from the first bank line of the month to the closed period and the report that explains it.

Many businesses in Indonesia split this work between an in-house admin, a freelance bookkeeper and a tax consultant who reconstructs the year at the end. Each part gets done, and nobody is responsible for whether the balance sheet is true. We take that responsibility for the whole cycle and run it in Xero, so every step leaves a record you can see.

Bookkeeping. Sales, purchases, expenses and journals recorded and coded to a chart of accounts built for how your business runs.

Bank reconciliation. Every bank, card and payment account agreed to an actual statement, with outstanding items listed rather than assumed. Transactions from BCA, Mandiri, BNI and other banks come into Xero by importing bank statements on a regular schedule.

Accounts payable. Supplier bills captured, coded, routed for approval and prepared for payment, which you release from your own bank.

Accounts receivable. Invoices recorded or raised, payments applied to the right invoices, and aged receivables kept current.

Month-end close. Control accounts tied out, accruals and prepayments posted, the balance sheet substantiated and the period locked.

Management reports. A monthly pack that answers how the business is doing and where the cash went, delivered on an agreed working day.

Records ready for tax and audit. Books our Tax Outsourcing team can prepare and file your tax returns from, and an independent public accounting firm (KAP) can audit, without reconstruction.

Your file, your subscription. Xero is set up in your company's name and you pay Xero directly. We work inside your organisation with our own user access, so leaving us means removing that access rather than moving your books.

The rhythm

How a Month Runs

The work is spread across the month so the close is a check rather than a rescue.

During the month

Record and reconcile

Bank statements imported on a regular schedule, bank lines coded and reconciled, bills and invoices entered, questions sent to you in one batch rather than one by one.

Payables cycle

Prepare, you release

Approved bills gathered into a payment run and a bank file prepared. A person at your business releases it from your internet banking.

Month end

Close the period

Control accounts agreed to their subledgers, accruals posted, every balance sheet line supported by a schedule, lock date set.

After the close

Report

The management pack delivered with a written note on anything that needs your attention, the same month.

If the books are behind today, we bring them current first as a separate project and then start the monthly rhythm. setup and migration covers moving to Xero from Accurate, Jurnal, Zahir or spreadsheets.

Deliverables

What You Receive Each Month

Agreed during onboarding and delivered on a stated working day.

Profit and loss, with comparatives. The month and year to date against the prior period, so a movement is visible without searching for it.

Balance sheet, substantiated. Every material line supported by a schedule that already exists.

Cash position and movement. Where the cash came from and where it went.

Aged receivables and aged payables. Who owes you, whom you owe, and for how long.

A written note. Anything unusual in the month, raised in writing while it can still be acted on.

Reports built to your own definitions

Standard statements come with the service. If you need something specific, such as results by branch, project or product line, we design it with you during onboarding, using Xero tracking categories where they fit, and produce it every month.

Boundaries

Who Owns What

Clear lines make the service easier to rely on. This is how the work divides between our team, your team and the other parties around your accounts.

Our team

  • Keep the books current, reconciled and substantiated every month
  • Prepare payables for approval and prepare payment files for your release
  • Keep receivables accurate and aged receivables current
  • Close the month to an agreed date and deliver the reporting pack
  • Set up, migrate, clean up and maintain your Xero organisation
  • Hand over records ready for tax filing and for your auditor

Stays with you or others

  • Releasing payments: you approve and send them from your own bank, and we never hold or move client funds
  • Business decisions on pricing, credit terms and spending
  • Conversations with your customers about overdue invoices
  • Audit: an independent public accounting firm (KAP) audits your accounts, not us
  • Legal and investment advice

Alongside Tax and Payroll

Accounting can run on its own, or together with our tax and payroll services so that one team works from one set of books.

When the same team keeps the ledger, prepares the tax returns and runs payroll, the figures in each agree with the others by design. Tax working papers come from reconciled accounts, and payroll journals post straight into Xero.

Questions

Accounting Outsourcing, Answered

What does accounting outsourcing include?
The full accounting function in Xero: bookkeeping, bank reconciliation, accounts payable and receivable, the month-end close and monthly management reports. The scope for your business is set out in the engagement letter.
Do we need to be on Xero already?
No. If you use Accurate, Jurnal, Zahir or spreadsheets today, we can migrate you to Xero as a project before the monthly work starts. We explain what the migration involves before you decide.
Who owns the Xero file?
You do. The subscription is in your company's name and you pay Xero directly. We work with our own user access, which you can remove at any time.
Do you make payments on our behalf?
No. We prepare payment runs and bank files, and a person at your business approves and releases them from your own bank. We never hold client funds or move money.
Can you also handle our tax and payroll?
Yes. Our Tax Outsourcing service prepares and files your monthly and annual tax returns, and our Payroll Outsourcing service runs your monthly payroll. Both work from the same books we keep in Xero.
Are you our auditor?
No. If your company needs an audit, it is carried out by an independent public accounting firm (KAP). We prepare the records and schedules they ask for.
How is the service quoted?
After a short review of your file. Transaction volume, the number of bank accounts and entities, and the complexity of the business are what move the quote.
