Profit is not determined by sales alone. Plenty of businesses with high revenue earn thin profits, because pricing, costs and working capital are not well managed. Good financial management shows you where profit really comes from and where it leaks away.

1. Start with accurate, timely numbers

Every financial decision depends on the books. Make sure transactions are fully recorded, bank accounts are reconciled and monthly reports are ready within a few weeks of month end. Reports that are three months late only explain the past.

2. Know your margin by product, service or customer

Total profit often hides products or customers that actually lose money. Work out gross margin by product line, branch or project. In Xero, tracking categories separate income and costs by segment without creating new accounts.

3. Price from your real costs

Prices set only by looking at competitors can erode profit. Calculate the full cost of delivering the product or service, including overheads, then set the margin you want. Review prices regularly when materials, wages or rent go up.

4. Control costs with a budget

Build an annual budget split by month, then compare it with actual results every month. Large variances need an explanation: sales volume, price or waste.

5. Manage working capital

Slow-paying receivables and excess inventory lock up cash that could fund growth. The strategies are covered in our series 7 strategies to improve cash flow.

6. Track a few key indicators

Choose the handful of indicators that matter most to your business, such as gross margin, net profit margin, days sales outstanding and inventory turnover. Track them monthly as a trend, not just a single month's number.

The right support

Owners do not have to do it all themselves. Logiframe's accounting outsourcing team runs your bookkeeping in Xero and prepares monthly reports, so you can focus on the decisions that grow profit.
