In the early days, many owners do their own bookkeeping. That is normal and can work well, as long as it is done with discipline. The trouble is that bookkeeping often only happens when there is spare time, so transactions pile up and the reports cannot be trusted. Here is how to manage your own books effectively.

1. Separate personal and business bank accounts

This is the single most important step. When personal and business money mix, you never know what the business really earns. Open a dedicated business account and record every personal withdrawal as drawings or owner's salary.

2. Use accounting software, not just spreadsheets

Spreadsheets are easy to build and easy to get wrong: deleted formulas, different file versions and no audit trail. Cloud accounting software such as Xero connects your bank accounts, creates invoices and builds reports automatically.

3. Book time for bookkeeping every week

Set aside an hour or two on the same day each week to record transactions, match bank lines and send invoices. Fifteen minutes of reconciliation a day is even better than a full day at month end.

4. Keep supporting documents in order

Every receipt and payment needs evidence: invoices, receipts or tax invoices. Photograph or scan them straight away and attach them to the transaction, so nothing is missing when it is needed for tax or a review.

5. Keep the chart of accounts simple and consistent

Group income and costs into clear accounts and use them consistently. Too many accounts is confusing, too few makes the reports useless.

6. Review the reports every month

Books are only useful if the reports get read. At the start of each month, open the profit and loss, the balance sheet and aged receivables. Compare them with the previous month and look for anything unusual.

When should you hand bookkeeping to a professional?

Consider professional help when the books are always more than a month behind, transaction volumes keep growing, you start needing reports for a bank or investor, or your time is worth more spent selling and growing the business. Logiframe's accounting outsourcing team can take over your monthly bookkeeping in Xero.
