Privacy Policy

1. Who this covers

This policy applies to Logiframe US LLC, a California limited liability company based in San Jose, and to the pages at logiframe.com/us.

Logiframe also operates in Indonesia, and the Indonesian pages of logiframe.com are covered by a separate privacy policy under Indonesian law. If you are using the Indonesian site, that policy applies to you rather than this one.

Logiframe US LLC decides how and why the information described here is handled. In legal terms, we are the controller of that information.

2. Two kinds of information

We handle personal information in two distinct ways, and the rules differ between them.

Information about you as a visitor or prospective client. What you send us through a form, and what is collected automatically when you browse the site. We decide how this is used, and this policy governs it.

Information inside the accounting records we maintain for clients. When we keep the books for a business, those records contain personal information about that business's customers, suppliers and staff. We process it only on that client's instructions and for no purpose of our own. The client decides how it is used; we act as their service provider. If you are asking about information held in a business's accounting records, contact that business rather than us, and we will support them in answering you.

3. What we collect

Information you give us

When you complete a form on the site, we collect what you enter. Depending on the form, that is:

  • Your name
  • Your email address
  • Your company name
  • Your message
  • Which accounting software you use
  • What you are looking for from a service
  • Which systems, if any, are integrated with your accounting software

We also keep the correspondence that follows, including emails and notes from calls.

Information collected automatically

When you visit the site, we and our analytics and advertising providers may collect:

  • IP address and approximate location derived from it
  • Browser and device type, operating system and screen size
  • Pages viewed, time on page, and links clicked
  • The site or search that referred you
  • Identifiers stored in cookies and similar technologies

4. Cookies and tracking

We use cookies and similar technologies from the following providers:

ProviderWhat it is used for
HubSpotRunning the website, our forms and our contact database, and recording how visitors use the site
Google AnalyticsUnderstanding how the site is used in aggregate
Google AdsMeasuring which advertisements lead to enquiries, and advertising to people who have visited the site
LinkedInThe same, on LinkedIn
MetaThe same, on Facebook and Instagram

A consent banner appears when you arrive. You can accept or decline categories of cookies, and you can change your choices at any time using the cookie settings link on the site.

Advertising and analytics cookies are not set until you accept them. If you decline, or simply do not respond, the Google, LinkedIn and Meta tags do not run.

We honour the Global Privacy Control signal. If your browser or extension sends it, we treat it as a request to opt out of advertising cookies without you needing to do anything else.

5. How we use it

  • To answer your enquiry and to prepare a proposal
  • To provide the services you engage us for, and to invoice for them
  • To send you information you asked for
  • To understand which pages and which advertisements bring us enquiries
  • To keep records we are required to keep, and to establish or defend legal claims

We do not make decisions about you by automated means that produce legal effects.

6. Who we share it with

We do not sell personal information for money.

We do use advertising services that receive information about your visit so that we can measure and target advertising. Under California law this counts as sharing for cross-context behavioural advertising. You can stop it by declining advertising cookies in the banner, by sending a Global Privacy Control signal, or by writing to us.

We use the following providers, who handle information on our behalf under contract:

ProviderWhat they hold
HubSpotOur website, forms, contact database and email
Google WorkspaceEmail, documents and file storage
XeroAccounting records we maintain for clients
NetSuiteAccounting and ERP records for clients on that platform
Google, LinkedIn and MetaAdvertising and analytics data about site visits

We also disclose information where the law requires it, and to professional advisers where necessary.

7. Where it is accessed from

Logiframe US LLC works with a delivery team in Indonesia. Personal information covered by this policy, including enquiry details and information inside client accounting records, is accessed by our personnel there.

Our contact database is shared between our United States and Indonesian operations, so an enquiry submitted on the United States site may be visible to staff in either location.

Indonesia has not been assessed by any United States authority as providing an equivalent standard of data protection. We apply the same internal handling rules across both operations, under written cybersecurity and data handling policies, and we can provide a summary of those on request.

8. Client records

Where we maintain accounting records for a client, we act on that client's instructions and for their purposes only. We do not use the personal information inside those records for our own marketing, we do not sell it, and we do not combine it with information from other clients.

We have no authority to move client funds. We prepare payment runs and report what is due; releasing a payment is done by a person at the client's business.

Access is granted to named individuals at the level the work requires, and is removed when someone stops working on that engagement.

9. How long we keep it

InformationKept for
Enquiries that do not become engagementsTwo years from our last contact with you
Client accounting records and correspondenceSeven years after the engagement ends
Website analytics and advertising dataAs set by each provider's own retention settings

Seven years covers the period in which tax authorities can examine a return, so the records behind your accounts remain available to you for as long as they may be needed.

We delete or anonymise information once the period above has passed, unless we are required to keep it for longer.

10. Your rights

Whether or not California's privacy law applies to a business of our size, we offer these rights to anyone who asks:

  • To know what personal information we hold about you and where it came from
  • To a copy of that information
  • To correct anything inaccurate
  • To delete it, unless we are required to keep it
  • To opt out of sharing for advertising purposes
  • Not to be treated differently for exercising any of these

Write to compliance@logiframe.com. We will acknowledge within ten business days and respond within forty-five days. We may ask you to confirm your identity before we act, so that we do not disclose your information to someone else.

You may use an authorised agent, and we may ask for written proof of their authority.

If your request concerns information inside a business's accounting records, contact that business. They decide how their records are used, and we will help them respond.

11. Security

We hold written cybersecurity and data handling policies that classify client information by sensitivity and set how each kind is stored, transmitted and accessed. Access is limited to named individuals, and it is reviewed and removed as people move between engagements.

No system is completely secure. If a breach affects your personal information, we will notify you and any regulator as the law requires.

12. Children

This site is for businesses. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, write to us and we will delete it.

13. Changes

We will update this policy when our practices change. The date at the top shows when it was last revised. Material changes will be signposted on this page.
